Office Manager

Essential Duties and Responsibilities

  • Use QuickBooks standard accounting and bookkeeping procedures to keep an accurate continuous record of the cash and financial position of the Institute.
  • Assist the Bookkeeper’s weekly visit to reconcile all accounts.
  • Help update the website content.
  • Organize and file all office documents and invoices/receipts.
  • Process receipts and expenses in compliance with all laws applicable to the Institute’s business operations.
  • Receive, process, and ship all orders for sale by the Institute.
  • Maintain and organize all inventory in store room and order supplies as needed with Executive Director.
  • Assist with scheduling Gesell Advertised and District Sponsored workshops and other seminars.
  • Send contracts to host schools and monitor the return of contracts
  • Use Access to coordinate participants of workshops and workshop schedule
  • Maintain Workshop Overview Schedule
  • Prepare electronic flier for workshops
  • Assist in marketing workshops and products
  • Provide various administrative assistant services for the Executive Director.
  • Perform other duties as assigned by the Executive Director.
  • Support the Institute and its leadership staff and Board of Directors.

Preferred Experience and Qualifications

  • An Associate’s degree or higher, preferably in accounting or business management.
  • Minimum of five (5) years of accounting/business office experience, preferably in a not-for-profit setting.
  • Knowledge of the PreK and Kindergarten education world, a plus.
  • Posting on social media.

Required Skills and Abilities

  • Well-developed computer skills. Absolutely essential to be adept at QuickBooks, Access, and Microsoft’s Office.
  • Experience with WordPress websites.
  • Professional phone skills.
  • Disposition for extreme accuracy and detail.
  • Ability to communicate effectively orally and in writing.
  • Ability to work independently and be flexible.

 

Work Environment and Expectations

  • Must be a team player on a very small team.
  • Must be able to ascend/descend stairs, lift heavy boxes (30#).
  • Must be a problem-solver and willing to try new options.
  • Must be a self-starter.
  • Willing to continue training and upgrading skills.
  • Undertake special projects and assignments as directed.

General Pay and Provisions

  • 19 hours per week, prorated paid vacations, holidays, and sick days.
  • Compensation commensurate with experience.

Internships

PROGRAM INTERN

We are seeking a motivated General Program Intern to provide support for our activities, with a focus on our nationwide workshops for teachers.  Responsibilities include:

  • Process orders for Gesell workshops and materials
  • Compile workshop materials
  • Enter Gesell workshop participants into information database
  • Write email correspondence to customers as needed
  • Answer customer phone calls and emails
  • Assist with filing and photocopying

 Qualifications
Internship is ideal for an undergraduate college student.  Course work or experience in the fields of education, psychology, or sociology is desirable.  Knowledge of Microsoft Applications is required (Word, Excel, Access, PowerPoint, Outlook). Necessary strengths include meticulous attention to detail, good organizational habits and communication skills.  The ability to work independently under minimum supervision is essential.

Interns will receive necessary on-site training.  The work environment is passionate, committed to serving children, hard working, and enthusiastic.  The minimum time commitment is 3 days per week. The internship is unpaid.

MARKETING/SALES INTERN

The Marketing/Sales Intern will help to ensure that Gesell products and research connect with the desired audience (teachers, principals, physicians, psychologists).  In addition to assisting in marketing and sales efforts and campaigns, this individual will also offer aid in facilitating the technical aspects of the office, overseeing that operations run smoothly.

Responsibilities include:

  • Create online marketing materials to be emailed to customers
  • Assist with ongoing marketing/sales/public relations projects
  • Maintain an up to date customer database
  • Coordinate sales calls to customers
  • Call third party affiliates and contractors as needed
  • Answer customer phone calls and emails
  • Process orders for Gesell materials
  • Record product and workshop registration orders
  • Write email correspondences to customers as needed

 

Qualifications
Internship is ideal for an undergraduate college student.  Course work or experience in the fields of education, psychology, or marketing is desirable.  Previous work experience in customer service is a plus.  Knowledge of Microsoft Applications is required (Word, Excel, Outlook; PowerPoint and Access are a plus). Necessary strengths include attention to detail, good editorial and organizational skills, and excellent communication skills.  The ability to work independently under minimum supervision is essential.

INFORMATION TECHNOLOGY INTERN

Gesell Institute is seeking a motivated Information Technology Intern to provide support to upcoming and ongoing programs and projects.

 

Responsibilities:
IT interns assist Institute staff with a variety of information systems issues, including web design and maintenance, interactive web based programs, database design, computerized accounting systems, networking.  Projects in this area may include the following:

 

  • Maintain e-mail and web host
  • Assist with social media
  • Troubleshoot and provide computer support to office and field staff as needed
  • Update technical aspects of web site
  • Research new software, hardware, and other IT needs
  • Edit video for digital portfolios and webinars

 

Qualifications
Internship is ideal for an undergraduate or graduate college student.  Undergraduate or graduate course work/experience in computer science, management and information systems, engineering, web design, or a related field is required. Video editing experience a plus.  Knowledge of MS Office applications, WordPress, general understanding of e-commerce software, marketing solutions, design and development, Internet, web, and social media experience is required.  Familiarity with graphics editing software or willingness to learn.  Skills and abilities necessary include attention to detail and excellent communication skills.  The ability to work independently under minimum supervision is essential.
